Instructions for using the messages in Hootsuite

1In column A, set your Date and time for hootsuite either (DD/MM/YYYY 24Hr time) or (MM/DD/YYYY 24hr time)

2In column B set your message

3In column C, set a temporary column to calculate the character count. You will delete this column before upload. Use the formula =LEN(B1) to count

4In column D, add your hyperlinks, if any. Use a URL shortener like bit.ly or other to shorten the links.

5Before upload ensure the tag(s) you will be using and make sure they are properly referenced in each of your messages.

6If also posting to Facebook, copy and paste everything, deleting column C, to another worksheet. On this worksheet do a find replace to remove all of the hashtag references. If you've shortened anything that doesn't make sense without a hashtag, go ahead and expand the description here.

7To upload to Hootsuite, make sure you've removed column C and your weblink column is the new column C. Make sure the page you want to upload is the first tab - hootsuite will only upload the first tab. I start with twitter, then switch to Facebook. Save your file as a CSV (comma separated value)

8Select your accounts and upload each worksheet. Save the worksheet with a new name as a record of what you've uploaded.

9Do not assume all messages apply to your organization or timing during an incident. Review twice, send once.

Read each message to make sure it appropriately suits your agency. Ensure that you change web addresses as appropriate and include the relevant hashtags without exceeding 140 characters.
